Lessons from Build-A-Bot

When business leaders use AI:
How OneSource Virtual created real bots in an afternoon

At OneSource Virtual’s leadership summit, more than 70 leaders came together for a hands-on AI experience designed to take building with AI from theory to actuality. Inviso led a half-day Build-A-Bot workshop that gave participants the tools to identify automation opportunities and bring them to life using Microsoft Copilot Studio.

For a company like OneSource Virtual, which helps organizations increase efficiency and provides reliable support across payroll, HR, and finance, exploring the potential of AI was a natural fit. The workshop served as both a creative exercise and a practical look at how emerging technology could enhance the way OneSource Virtual delivers value to its customers.

In just a few hours, cross-functional teams – from HR and payroll to legal, tax, and IT – built working AI agents to streamline real business processes. These weren’t hypothetical exercises. They were tangible solutions: bots that queried public tax sites, surfaced benefit information, and connected weather data to workforce systems.

The result? A clear demonstration that AI can empower teams across the business (not just developers) to act faster, reduce manual work, and build for scale.

From exploration to execution

The workshop opened with a challenge from OneSource Virtual’s COO and CIO: embrace the art of the possible. Inviso followed with a focused introduction to Copilot Studio and the fundamentals of prompting, laying the foundation for the rest of the workshop.

Build-A-Bot Presentation

Inviso kicked off with an overview of Copilot, agents, and the art of prompting.

Participants then broke into small teams, each tasked with building a functional AI agent to address a specific business challenge. Within two hours, they were designing, prompting, testing, and refining their bots with support from Inviso and Microsoft experts.

The energy in the room was focused and fast-moving.

Teams pushed past theoretical use cases and built prototypes rooted in their daily workflows. By the time presentations began, nearly every group had a working solution ready to demo.

Real bots. Real business value.

It was inspiring to see how ideas had come to life through AI in such a short time frame. Each was a testament to the participants’ ingenuity and the powerful capabilities of Copilot Studio.

Groups identified key processes within their departments that could be automated to increase efficiency and reduce manual effort. The diversity in the bots created reflected attendees’ varied backgrounds and expertise, as well as the range and relevance of what’s possible with generative AI in different business processes. Some examples:

  • WeatherBot: An agent designed to provide clear and concise weather-related information and responses specific to geographical areas of the US. The teams envision linking the agent to back-end HR systems based on employee locations.
  • IRiS: A chatbot configured to query the IRS public websites for root cause, remediation, and FAQs on specific tax form notices.
  • SlimTax: Review various state agency websites to look for changes in tax codes by location.
  • Benny the Benefits Bot: An agent that provides employees and partners with contact information for medical providers, deductible limits, claim processes, and automated tax form submission.

Each bot tackled a real friction point identified by the bot creators, eliminating manual steps, surfacing answers faster, and setting the stage for broader automation. And for the most part, the people envisioning and building the bots weren’t engineers. They were business leaders applying AI to solve problems in real time.

A catalyst for what’s next

This Build-A-Bot Workshop proved that AI isn’t a future-state concept. It’s a practical tool leaders can apply today. In a single afternoon, participants moved from concept to working solution, gaining firsthand experience with Copilot Studio and unlocking ideas for broader automation across the business.

The biggest shift was in mindset. By the end of the session, participants weren’t asking “What’s AI?” They were asking “What can we automate next?”

For organizations facing pressure to do more with less, this type of workshop provides a clear path forward. Instead of waiting for enterprise-wide rollouts or relying solely on IT, teams can learn how to identify repetitive tasks, quickly prototype AI-powered solutions, and apply automation. With Copilot Studio and Power Platform, you can move from idea to execution in hours. It’s a practical model for enabling business-led innovation at scale.
